How and When to Save a Transcript?

Editing is a time consuming process.  It is very important to follow a few simple steps to assure a trouble-free operation.   Editor offers several features that will ensure the integrity and safety of your transcript.

The following sections describe the procedure to properly configure the safety nets in  the Editor and some simple step to follow during the editing process to properly save your transcripts.

Setting up the Safety Net

Editor may be configured to automatically save a transcript, at a predefined time interval,  and to automatically create a backup copy of a transcript.  These features are independent of each other and they offer different levels of safety.

Follow the procedure listrd below to enable these features:

  1. From the Editor screen, Choose the Tools, and then select Preferences

  2. Click the "Save" tab

  3. Place a checkmark next to the "Make Backup Copy" to enable the backup feature.  This feature automatically saves the changes made to a file since the last save into a new file and it preserves the original content in another file with the .BU extension.  A BU file is created when the user presses the Save button.

  4. Place a checkmark next to the "Autosave..." option

  5. Select the number of minutes between each save.  Autosave automatically saves a transcript as the user is editing a transcript.  Autosave does not alter your original transcript; it only makes a copy of it.  An autosave file will be stored in a .SAV file.

  6. Click the OK button to store your preferences.

How and when to save a transcript

The Autosave and Backup features described above are designed to create backup copies of your transcript.  Backup files may be relied upon for recovery of lost or damaged transcripts due to software, hardware or user failure. However, using the "Save" command properly will minimize the risk of data loss.

Follow the following instructions to periodically save your transcript.

You may choose one the following three methods to save a transcript.

  1. Click the File option on the menu bar, and then select save

  2. Press the F2 key, or

  3. Click the Save button on the tool bar -- see the editor tool bar below

Editor displays "File Saved" on the status bar after the user has used one of the above three procedures to save a file.  The save procedures described above also cause the editor to back up the original file to a .BU and then store the changes in a new .TRP file.

The Save features described above store the changes made to a transcript into the file that is being edited.  To store the changes made to a transcript in a different file, the user may use the the Save As command.  This feature enables the user to store the changes made to a transcript in a different file thus maintaining the original file unchanged.  The Save As command may only used to create a new copy of a transcript.  It may not be used to store the changes made to a transcript to itself.
